Privacy policy

Account and business information: name, email address, authentication information, organization or venue details, account role, plan, billing status, preferences, and account activity such as creation and last-login dates.

Tournament and participant information: tournament settings, locations, schedules, entrant and partner names, phone numbers, email addresses, skill levels, custom registration responses, RSVP status, on-site present/arrival status, match reports, results, standings, and notification preferences.

Communications and support: message content generated through the platform, delivery status and provider records, opt-out status, support requests, attachments, and correspondence.

Payment and technical information: Stripe customer, subscription, invoice, and transaction identifiers; device, browser, IP address, timestamps, logs, security events, and basic usage information. Payment card details are entered with and handled by Stripe rather than stored directly by TourneyStation.

First-party site analytics: pages viewed, anonymous browser and visit identifiers, referring website, campaign tags, general device category, active time while a page is visible, coarse state/region and country supplied by our hosting provider, and short-lived one-way network and browser-security fingerprints. Raw IP addresses and raw browser-security identifiers are transformed when a request is received and are not stored. The traffic dashboard does not associate this information with a visitor's name or email address and does not store precise location.

We use information to create and secure accounts; operate registrations, brackets, tables, match reporting, notifications, public pages, exports, and event history; process purchases and subscriptions; provide support; prevent fraud and abuse; troubleshoot and improve reliability; enforce our Terms; and comply with legal obligations.

Directors and venue staff use participant information to operate their tournaments. Their organization may make independent decisions about what information to collect and how to use exported data. Questions about a particular event should first be directed to its organizer.

We process phone numbers, email addresses, notification preferences, message content, and delivery records to send tournament-related messages requested or configured through TourneyStation. These may include registration confirmations, reminders, table assignments, match links, results, discrepancy notices, and future-event alerts.

Recipients may opt out of SMS using supported opt-out keywords or ask the event organizer or TourneyStation for help. Transactional account messages, such as password resets and important security notices, are separate from tournament notification preferences.

We disclose information to the director, venue, or authorized staff responsible for the relevant organization or tournament; to participants and the public when event visibility settings display brackets, entrant names, results, or standings; and to vendors that help us provide hosting, databases, authentication, email, SMS, payment processing, analytics, security, and support.

Current service categories include cloud hosting, Supabase database and authentication services, Stripe payment services, Resend email delivery, and configured SMS delivery providers such as Telnyx or an Android gateway. These providers process information under their own terms and privacy commitments.

We may also disclose information when reasonably necessary to comply with law, respond to valid legal process, protect rights and safety, investigate fraud or abuse, or complete a merger, financing, acquisition, or transfer of the service subject to appropriate protections.

TourneyStation does not sell personal information or share it for cross-context behavioral advertising. We may use essential cookies and similar technologies for authentication, security, preferences, billing flow, and service operation. If advertising or non-essential analytics practices materially change, we will update this policy and provide choices where required.

We retain account, billing, tournament, result, notification, audit, and support information for as long as reasonably needed to provide the service, maintain event history, resolve disputes, prevent abuse, satisfy tax or accounting requirements, and comply with law. Retention periods vary by record type and operational need.

Expired player-access links may become unusable while the underlying tournament record remains in event history. Backup copies and records required for security, billing, or legal compliance may remain for a limited period after an account or record is deleted.

First-party traffic events are generally retained for up to 180 days and then removed through routine cleanup. Temporary network and browser-security fingerprints within those events are cleared after 14 days.

You may update certain account and tournament information in the platform, change notification preferences, opt out of applicable messages, or request access, correction, or deletion of personal information. Some information may be retained where required for billing, security, legal compliance, or legitimate event records.

To make a privacy request, email support@tourneystation.com. We may need to verify your identity and authority over the account or information before completing a request.

We use administrative, technical, and organizational safeguards designed to protect information. No internet service or storage system is completely secure, so we cannot guarantee absolute security. Information may be processed in the United States and other locations where our providers operate, subject to applicable protections.

TourneyStation is not directed to children under 13, and children under 13 may not create their own accounts. Tournament organizers are responsible for obtaining any parental or guardian permission required before entering a minor's information or making it public.
